UpJobs is built with privacy-by-design practices. We describe what we collect, why we use it, and who we share it with so you can make informed choices. If you are in the EU, UK, Nigeria, or elsewhere, applicable data-protection laws may give you additional rights — we explain how to exercise them below.
Terms of Service
Effective Date: 18 February 2026
1. Agreement to Terms
By creating an account on or using UpJobs ("the Platform"), you agree to these Terms of Service. If you do not agree, please do not use the Platform. We may update these terms from time to time, and continued use of the Platform after changes constitutes acceptance of the updated terms.
2. About UpJobs
UpJobs is a career services platform that helps job seekers create professional CVs, discover job opportunities, and prepare for their career. The Platform also allows employers to post job openings directly. Our services include:
- AI-assisted CV creation and enhancement
- CV upload and data extraction from PDF, DOCX, and TXT files
- ATS (Applicant Tracking System) compatibility analysis
- Job matching based on your skills and preferences
- CV tailoring for specific job applications
- Cover letter generation
- Career guidance via an AI assistant
- Employer job posting and management
3. Eligibility
You must be at least 16 years of age to use UpJobs. By using the Platform, you represent that you meet this requirement. If you are under 18, you confirm that you have the consent of a parent or legal guardian.
4. Your Account
- You are responsible for maintaining the security of your account credentials
- You must provide a valid email address for account creation
- You must not share your account with others or create multiple accounts
- You must notify us immediately if you suspect unauthorised access to your account
- We reserve the right to suspend or terminate accounts that violate these terms
5. Your Responsibilities
When using UpJobs, you agree to:
- Provide accurate, truthful information about your qualifications and experience
- Review and verify all AI-generated content before using it in job applications
- Not misrepresent your qualifications, skills, or experience
- Not use the Platform for any unlawful, fraudulent, or harmful purpose
- Not attempt to reverse-engineer, copy, or extract the Platform's technology
- Not upload malicious files, viruses, or harmful content
- Comply with all applicable laws in your jurisdiction
6. AI-Generated Content Disclaimer
Important: AI-generated content is a starting point, not a finished product. You are solely responsible for the accuracy and truthfulness of your CV and any documents you submit to employers.
- AI-generated content may contain errors, inaccuracies, or suggestions that do not reflect your actual experience
- You must carefully review, edit, and approve all content before use
- UpJobs does not guarantee that AI-generated content will result in job offers or interviews
- Submitting false or misleading information to employers may have legal consequences for which you are solely responsible
- UpJobs is not liable for any consequences arising from your use of AI-generated content
7. Free and Paid Services
UpJobs offers both free and premium services:
- Free Tier: Includes 3 CV generations (with watermark), ATS scoring, job matching, job browsing, AI career assistant (20 questions/day), and unlimited job applications
- Premium: Additional tokens may be purchased for watermark-free CV generation and enhanced features
- Pricing and features may change. We will notify registered users of material changes
- Payments are processed securely by Paystack. UpJobs does not store your payment card details
8. Employer Terms
If you register as an employer:
- You represent that you have authority to post jobs on behalf of your organisation
- Job postings must be genuine, lawful, and non-discriminatory
- You must not post misleading, fraudulent, or illegal job listings
- UpJobs reserves the right to remove any job posting that violates these terms
- You are responsible for your interactions with applicants and compliance with employment laws
9. Intellectual Property
- The UpJobs platform, its design, features, and technology are owned by UpJobs and protected by intellectual property laws
- You retain ownership of the personal information and content you provide
- CVs generated using the Platform are yours to use as you wish
- You grant UpJobs a limited licence to process your data solely for the purpose of providing our services
- You may not copy, reproduce, or redistribute any part of the Platform without written permission
10. Limitation of Liability
The Platform is provided on an "as-is" and "as-available" basis without warranties of any kind, whether express or implied.
To the maximum extent permitted by law, UpJobs shall not be liable for:
- Job application outcomes, hiring decisions, or career results
- Errors or inaccuracies in AI-generated content
- Loss of data (you should download and back up your CVs)
- Service interruptions, downtime, or technical issues
- Actions of third parties, including employers or other users
- Any indirect, incidental, special, consequential, or punitive damages
- Damages exceeding the amount you paid to UpJobs in the 12 months preceding the claim
11. Indemnification
You agree to indemnify and hold harmless UpJobs, its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from your use of the Platform, your violation of these terms, or your violation of any rights of a third party.
12. Termination
- You may delete your account at any time
- We may suspend or terminate your account if you violate these terms
- Upon termination, your right to use the Platform ceases immediately
- Sections relating to liability, indemnification, and intellectual property survive termination
13. Governing Law
These terms are governed by the laws of the Federal Republic of Nigeria. Any disputes shall be resolved in the courts of Nigeria, without prejudice to your rights under applicable local consumer protection laws.
Privacy Policy

1. Who We Are
UpJobs ("we", "us", "our") is a career services platform operated by Ecotronics Enterprise. We are the data controller responsible for your personal data. For any privacy enquiries, contact us at hello@upjobs.co.
2. Information We Collect
We collect only what is needed to run the product you signed up for:
- Account information: Email address and authentication secrets (handled by our auth provider)
- Profile & CV data: Job titles, skills, summaries, work history, education, projects, and other fields you enter in the builder or that we extract when you upload a file (e.g. PDF/DOCX text parsed on our servers)
- Contact preferences: Phone number (e.g. for WhatsApp alerts), marketing / digest preferences, and similar settings you choose
- Job-matching data: Saved match scores, reasons, and related job IDs so we can show your dashboard and optional digests
- Applications: Records you create when you apply to roles through the Platform (e.g. job ID, timestamps)
- Technical & operational data: Logs, security signals, and support messages you send us — used to operate and secure the service
We do not aim to collect: Government ID numbers, special-category data, or payment card numbers (payments are processed by Paystack; we do not store your full card details). Please do not paste sensitive personal data into the chat or forms unless necessary for your application.
3. How We Use Your Information
We process your data based on the following lawful bases under GDPR Article 6:
- Consent (Art. 6(1)(a)): Where you tick the relevant boxes at sign-up or in settings — for example AI-assisted CV features, WhatsApp digests, or marketing email
- Contract (Art. 6(1)(b)): Running the core product you asked for (account, dashboard, matching, applications, paid features you purchase)
- Legitimate Interest (Art. 6(1)(f)): Securing the platform, debugging, aggregate service improvement, and enforcing our terms — balanced against your rights
Specifically, we use your information to:
- Generate and enhance your CV using AI (where you use those features)
- Match you to roles in our database and refresh those scores periodically when you use the service
- Provide career guidance via the in-app assistant (subject to fair-use limits)
- Analyse and score your CV for ATS compatibility where offered
- Generate tailored cover letters or job-specific CV variants where you request them
- Send optional WhatsApp messages (e.g. a weekly digest and/or a one-time alert after matches are saved) when you opt in and we have your number
- Send optional email (e.g. job or tips digests) when you subscribe or enable such emails
- Communicate important service, security, or legal notices about your account
4. AI processing & data minimisation
Different features send different amounts of text to our AI provider (currently OpenAI). We minimise content where the product allows (for example, the career chat may use your first name and professional fields), but features such as CV generation, tailoring, or cover letters necessarily send the professional narrative you provide or ask us to rewrite. That text can still include identifying details if you included them in your CV.
When we use AI, we apply the following safeguards and expectations:
- Minimisation by feature: We only attach context needed for the task (e.g. skills and role for chat; fuller CV text when you explicitly generate or tailor a document)
- No training by UpJobs: We do not use your data to train our own models; our use of third-party APIs is governed by the provider's terms and settings available on your account
- Encryption in transit: Requests to AI and other processors use TLS (HTTPS) where supported
- Provider retention: Third-party AI providers may retain prompts for a limited period for abuse monitoring or as described in their documentation — see OpenAI's policies for the current retention period
- Processor terms: We rely on contractual terms (including Data Processing Addenda where available) with our AI provider; a summary is in the DPA section below
CV upload:Parsed text from PDF/DOCX is processed on our infrastructure to extract skills and structure. Depending on the pipeline, some AI-assisted features may send portions of that text to OpenAI. Uploaded files and structured data are stored in your account so you can edit, match, and download your CV — they are not "memory only" or deleted simply because you close your browser.
5. Data Sharing
We do not sell your personal data. We share data only with service providers who help us run UpJobs:
- AI provider (OpenAI): Prompts and context needed for the AI feature you trigger, under their terms and applicable DPAs — see DPA summary
- Payment processor (Paystack): Payment and billing metadata for transactions you initiate; we do not store your full card number
- Hosting & database (e.g. Vercel, Supabase): Account, CV, and application data stored to provide the service
- WhatsApp delivery (WasenderAPI): When you opt in, your phone number and message content are transmitted to our messaging API provider so the message can be delivered. That provider has its own infrastructure and terms
- Email delivery (e.g. Resend): When we send transactional or digest email, your address and message content are processed by our email provider
- Professional advisers / regulators: If required for legal compliance, fraud prevention, or enforcement of our terms
We do not share your data with advertisers or data brokers. We do not allow third parties to use your data for their own marketing unless you explicitly opt in to a separate campaign we describe at the time.
6. International Data Transfers
Your data may be processed in countries outside your own (for example the United States, EU, or other regions where Supabase, Vercel, OpenAI, Paystack, WasenderAPI, or email providers host services). Where EU/UK law applies, we rely on appropriate safeguards such as:
- Written contracts with processors, including Standard Contractual Clauses (SCCs) where required
- Minimising what we send cross-border (e.g. only the text needed for a given AI task)
- Encryption in transit; and encryption at rest where our providers support it
7. Data Retention
- Account & profile: Kept while your account is active and for a short period afterwards if we need to resolve billing disputes or legal requests
- CVs, uploads, and builder data: Stored until you delete them or delete your account
- Job matches & applications: Stored to power your dashboard and history until you delete your account or we delete stale technical records
- WhatsApp / messaging logs: May be kept for delivery troubleshooting and audit for a limited period
- Operational logs: Security and error logs retained only as long as needed for security and reliability
- Third-party AI/email providers: Retention is governed by their policies (often short-term for API traffic)
When you delete your account, we will delete or anonymise personal data in our primary systems within 30 days, unless a longer period is required by law, fraud prevention, or backup rotation (backups may persist for a limited extra period before overwriting). Contact us if you need a copy before deletion.
8. Cookies & local storage
We use cookies and similar technologies that are strictly necessary to keep you signed in and secure (for example session cookies from our authentication provider). We do not use third-party advertising cookies. If we add optional analytics or marketing pixels in the future, we will update this policy and, where required, ask for consent before turning them on.
Our website may store non-sensitive UI preferences (such as "privacy notice dismissed") in browser local storage on your device. That storage is not the same as deleting your account data on our servers.
9. Children's Privacy
UpJobs is not intended for children under 16 years of age. We do not knowingly collect personal data from children. If we become aware that we have collected data from a child under 16, we will delete it promptly.
Your Data Rights
Under GDPR (EU), NDPR (Nigeria), CCPA (California), and other applicable laws
Regardless of where you are located, you have the following rights regarding your personal data:

Request a copy of all personal data we hold about you

Correct any inaccurate or incomplete personal data

Request permanent deletion of your personal data and account
Right to Restrict Processing
Limit how we use your data in certain circumstances

Receive your data in a structured, machine-readable format
Right to Object
Object to processing of your data, including for marketing purposes
Right to Withdraw Consent
Withdraw your consent for AI processing at any time by deleting your account
Right to Lodge a Complaint
File a complaint with your local data protection authority (e.g., NITDA in Nigeria, ICO in the UK, DPC in Ireland)

Data Processing Agreement (DPA)
We use OpenAI's APIs under their commercial terms. OpenAI publishes Data Processing Addenda and security documentation for business customers. We configure API access so that, under OpenAI's current API policies, customer content submitted via the API is not used to train OpenAI models — please refer to OpenAI's documentation for the latest wording and any optional settings (such as zero-retention modes) that may apply to your deployment.
In practice we expect processor commitments to cover:
- Confidentiality and security of personal data they process on our instructions
- Restrictions on use of API content consistent with OpenAI's published API data policy
- Sub-processor transparency where offered
- Assistance with breach notification where contractually required

Acceptable Use Policy
You must not use UpJobs to:
- Create fraudulent, misleading, or deceptive CVs or job applications
- Impersonate another person or misrepresent your identity
- Post fake, discriminatory, or illegal job listings (employers)
- Harvest, scrape, or collect data from the Platform without authorisation
- Attempt to gain unauthorised access to other users' accounts or data
- Upload files containing malware, viruses, or malicious code
- Use the Platform in any way that violates applicable laws or regulations
- Abuse the AI assistant by attempting to extract harmful, illegal, or inappropriate content
Violation of this policy may result in immediate account suspension or termination without notice.
